1. Who we are

Palantra Suite (“Palantra Suite”, “we”, “us”) is a customer relationship management (CRM) platform that helps sales and marketing teams manage leads, meetings, and communication in one place. This policy explains what information we collect, how we use it, and the choices you have — including when you connect a personal Gmail, Google Workspace, Microsoft 365, or other email account to our Mail module.

2. Information we collect

Account information

When you sign up for Palantra Suite, we collect your name, email address, and any other information you provide directly to us.

Information from a connected mailbox (Google/Microsoft)

If you choose to connect a Google or Microsoft account to Palantra Suite’s Mail module, we request your explicit consent through that provider’s own sign-in screen before accessing anything. Once connected, we access only:

  • Your basic profile information (name, email address) to identify the connected account.
  • Messages in your own Inbox only — never Sent, Drafts, Trash, Spam, or any other mailbox on the account — so that received emails can be shown alongside the leads and contacts they relate to inside the CRM.
  • The ability to send email as you, only when you explicitly compose and send a message from within Palantra Suite.

We never read, modify, or delete anything in your mailbox beyond what is described above, and we never access another person’s mailbox using your credentials.

3. How we use your information

  • To provide, operate, and maintain the CRM and Mail module.
  • To match inbound emails to the correct lead, contact, or conversation thread.
  • To let you send and receive email on behalf of your own connected mailbox from within the CRM.
  • To notify you about activity relevant to your account (e.g. new replies, meeting reminders).
  • To maintain the security and integrity of our service.

We do not sell your personal information, and we do not use Google or Microsoft mailbox data for advertising.

4. How we store and protect your data

  • OAuth access and refresh tokens for a connected mailbox are encrypted at rest and are never stored or transmitted in plain text.
  • Email content synced into the CRM is stored in our database, accessible only to authorized members of your organization’s CRM workspace.
  • We use industry-standard technical and organizational measures to protect data against unauthorized access, alteration, or disclosure.

5. Sharing of information

We do not sell your data. We only share information with third-party service providers strictly necessary to operate Palantra Suite (e.g. cloud hosting, transactional email delivery), each bound by confidentiality obligations, or when required by law.

Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

6. Your choices and rights

  • You can disconnect a connected mailbox at any time from within Palantra Suite’s Mail settings — this immediately revokes our access to that account and deletes the stored connection credentials.
  • You can also revoke access directly from your Google Account permissions page at any time.
  • You may request a copy of, or deletion of, your personal data by contacting us (see below).

7. Data retention

We retain connected-mailbox data only for as long as the connection remains active. When you disconnect a mailbox or delete your Palantra Suite account, associated tokens and synced email content are deleted or anonymized within a reasonable period, except where retention is required by law.

8. Children’s privacy

Palantra Suite is a business tool not directed at children, and we do not knowingly collect information from anyone under 16.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
